1. Introduction
FirstBatch ("we," "us," "our") operates a platform connecting independent food sellers with customers for scheduled preorder sales ("drops"). This policy explains what personal information we collect, why, and what rights you have over it.
By using FirstBatch, you agree to the collection and use of information as described here. If you don't agree, please don't use the platform.
2. What we collect
From sellers:
- Name, business name, ABN, business address, and pickup location
- Contact details (email, phone)
- Food safety registration documents and insurance certificates you upload for verification
- Bank/payout details (collected and held by our payment processor, Stripe — we do not directly store your full bank details)
- Order and sales history on the platform
From customers:
- Name, phone number, email
- Order history and preferences
- Payment information (collected and processed directly by Stripe — we do not store full card details)
- Email notification preferences
Automatically collected:
- Basic usage data (pages visited, device type) via standard website analytics, if enabled
3. How we collect it
Directly from you when you sign up, apply as a seller, place an order, or contact support. Automatically through cookies/analytics tools when you use our website (see Section 10).
4. Why we collect and use it
- To operate the core service: storefronts, drops, orders, and payments
- To verify seller compliance with food safety and insurance requirements before approving an account
- To send order confirmations, pickup reminders, and drop notifications by email
- To process payments and payouts via Stripe
- To respond to support requests and resolve disputes
- To improve the platform and understand usage patterns
- To meet our own legal and regulatory obligations
5. Who we share it with
- Stripe (payment processing and seller payouts) — receives payment and payout-related information necessary to process transactions
- Sellers, in relation to customers — a seller can see the name, order details, and pickup information of customers who've ordered from their storefront, since this is necessary to fulfil the order. Sellers do not receive access to your full account or payment details.
- Regulators or authorities, where required by law
- We do not sell personal information to third parties, and do not disclose it for any purpose beyond operating the platform without your consent.
6. Overseas disclosure
Some third-party providers we use (including Stripe) may store or process data on servers located outside Australia as part of their standard global infrastructure. Where this occurs, we take reasonable steps to ensure these providers handle information consistently with the Australian Privacy Principles, including relying on the provider's own compliance with applicable data protection standards.
7. Data security
We take reasonable technical and organisational steps to protect personal information from misuse, loss, and unauthorised access, including encrypted storage and restricted access to sensitive documents (e.g. food safety and insurance uploads). No system is completely secure, and we cannot guarantee absolute security.
8. Direct marketing
We only send marketing-style emails (such as a seller's announcement that a new batch is open) to customers who have agreed to hear from that seller, in line with the Spam Act 2003. Every such email includes a way to opt out, and opting out stops future messages of that type. We do not sell or share your contact details for third-party marketing purposes.
9. Access and correction
You can request access to the personal information we hold about you, and ask us to correct it if it's wrong, by contacting us at support@firstbatch.au. We'll respond within a reasonable timeframe, generally within 30 days.
10. Cookies and analytics
Our website may use cookies or similar technologies for basic functionality and analytics (e.g. understanding how visitors use the site).
11. Data retention
We retain personal information for as long as necessary to provide the service and meet legal obligations (e.g. tax and financial record-keeping requirements). Seller compliance documents (food safety, insurance) are retained for the duration of their account plus 2 years for record-keeping. You can request deletion of your account and associated data, subject to information we're legally required to retain.
12. Children
FirstBatch is not directed at children. Seller accounts require the account holder to be 18 or older, consistent with ABN and business registration requirements.
13. Complaints
If you have a concern about how we've handled your personal information, contact us first at support@firstbatch.au so we can try to resolve it directly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
14. Changes to this policy
We may update this policy from time to time. Material changes will be notified via email. Continued use of the platform after changes take effect means you accept the updated policy.
