Prep list

Turn Customer Orders Into Your Prep List

Instead of manually counting orders from Instagram DMs, spreadsheets or screenshots, FirstBatch automatically totals what you need to make.

What a prep list looks like

  • Chocolate cookies42
  • Brownies31
  • Cinnamon rolls18

Example only — your list is built from your own paid orders.

How the list is built

  1. 1Customers order and pay through your storefront.
  2. 2FirstBatch counts quantities, not orders — two brownies in one order count as two.
  3. 3Every paid order for the batch is added to a production list.
  4. 4You make exactly what was ordered.

The rules behind the numbers

  • Paid, confirmed orders are included.
  • Unpaid and abandoned checkouts are not counted.
  • Cancelled orders are removed from the totals.
  • Fully refunded orders are removed; partial refunds keep the remaining paid quantity.
  • Totals update live as orders arrive or change — no refreshing.
  • Orders already picked up stay in the batch history.

A packing list for the day itself

The prep list answers what to make. The packing list answers who gets what: one card per customer with their order number, pickup time and tick boxes for each item. You can filter by pickup slot and mark each order preparing, ready or picked up as it happens.

Both lists work on a phone in a kitchen and both print cleanly.

Common questions

How do I know how much food I need to make?+

FirstBatch adds up the quantities in every paid order and shows one total per product. You don't count orders or open a spreadsheet.

What happens if an order is cancelled or refunded?+

The totals adjust automatically. A cancelled or fully refunded order is removed, and a partially refunded order keeps the quantity the customer still paid for.

Can I see where a number came from?+

Yes. Tap any product and you'll see the orders and customers that make up the total, so you can check it before you start cooking.

Can I print it?+

Yes. Both the prep list and the packing list print as clean, plain pages with no navigation or buttons — readable on a bench in a kitchen.
